Tunes for Toys: Christmas on Canal

We are currently accepting registration for amazing Vendors for Trombone Shorty's "TUNES FOR TOYS" FREE HOLIDAY CONCERT celebrating “Christmas on Canal” at Warren Easton High School sponsored by The W.E. Alumni Association and Friends. Portion of the proceeds will benefit Warren Easton Charter High School.

Welcome and thank you for your interest in registering to be an AMAZING vendor of Trombone Shorty's "TUNES FOR TOYS" FREE HOLIDAY CONCERT celebrating “Christmas on Canal” at Warren Easton High School.
Please read all terms and conditions listed below carefully. We are currently accepting registration for Vendors for the event December 16, 2021 from 6:00 p.m.- 9:00p.m. located at Warren Easton's Legacy Field.
POP-UP SET-UP • ARRIVAL • ATTENDANCE • DEPARTURE
- Vendor setup is from 4:00 p.m. - 5:30 p.m. the day of the event. Salcedo St. will be closed for the duration of the event. Vendor loading will be thru the Canal St. entrance. All Vendor Vehicles MUST BE MOVED TO GAYOSO ST. SIDE OF WARREN EASTON BY 5:45 P.M. NO vehicles will be allowed on the field. Please call 504-621-4287 if other arrangements need to be made.
- Those arriving later to set up, without giving sufficient notice to W.E. Alumni Association, may forfeit their space and may not be permitted to participate that day. Please call 504-621-4287 if you know you will be late so arrangements can be made to reserve your space.
- Vendors are required to give 48 hours’ notice if they will not be attending Event.
- Vendors must stay until the close of the event. They are not permitted to dismantle their table unless they (1) completely sell out of their items or (2) experience a personal emergency.
- Vendors must provide own electrical source.
- Vendors have until 10:00 p.m. to exit the premises.
- No illegal weapons, edibles, CBD products or illegal substances are allowed.
- Alcohol sales by vendors are not allowed.
SPACES • TABLES • COST
- Vendors will provide their own signage for their space. Spaces must remain clean. All trash should be taken with you or disposed of in the proper containers provided.
- We encourage vendors to be as unique as you please with your display, however, loud music is prohibited.
- Space rental fee for the event per space is:
- $85 – Vendors will provide their own tent, table, and chairs
- $100 – (1) 10x10 or (1) shared 10x20 tent will be provided; Vendors will provide their own table and chairs
- $125 – (1) 10x10 or (1) shared 10x20 tent, (1) 8ft. table, and (2) chairs will be provided (limited time offer)
INSURANCE
Warren Easton Charter High School/Warren Easton Alumni Association and affiliates do not carry insurance to cover individual vendor participants. The participants are required to be responsible for their own personal, general, and product liability insurance. Warren Easton Charter High School/Warren Easton Alumni Association shall be reimbursed for any damage to our property, inside or out, by you. This includes damage to grounds, vehicles, and any other property owned by Warren Easton Charter High School/Warren Easton Alumni Association.
Warren Easton Charter High School/Warren Easton Alumni Association and affiliates are not liable or responsible for any accidents or incidents that occur while vendors, volunteers or patrons are on the premises. In addition, Warren Easton Charter High School/Warren Easton Alumni Association and affiliates take no liability or responsibility for any effects vendor products may have on patrons. Each vendor holds responsibility and liability for their own products and product effects.
FEES & PAYMENT
Vendors must complete the application to participate in our event. Vendors pay a fee (depending on your package) of $85, $100, or $125. Fees are due upon the completion of registration.
Your space is not secured until your payment has been paid in full. Please note, we will not hold any spaces or accept partial payments.
Participation in the December 16, 2021 event is voluntary, and vendors reserve all rights to their products and services as well as payment received for these products and services.
REFUND & CANCELLATION POLICY
We understand that life happens. So, in the unfortunate circumstance that you need to cancel, we will give you a credit that you may use at our next event. NO REFUNDS FOR VENDOR CANCELLATIONS.
In the event of a proven accident, riot, strike, epidemic, an act of God or any other legitimate condition or occurrence beyond their respective control, the Warren Easton Pop Up Shop will be rescheduled for a date to be determined. Your vendor registration fee will apply to the rescheduled date. NO REFUNDS FOR VENDOR CANCELLATIONS.
In the event this is canceled by the Warren Easton Alumni Association this contract is null and void and vendors will receive a full refund.
ADVERTISEMENT
Vendors are to send a high quality business logos to amanda.winfield@wechs.org after registering. These logos will be used for promotional purposes only.
MEDIA RELEASE
Images will be captured of all our vendors during the event through video, photo and digital camera, to be used solely for the purposes of promotional material and publications. Vendors understand that any rights of compensation or ownership thereto are waived.
THEFT & LIABILITY
We will do everything within our power to prevent theft of products and displays, but we cannot guarantee that items will not go missing or get broken. Our team will make every effort to prevent any incidents. However, we cannot be held responsible if theft or damage does occur.
RULES & REGULATIONS
When you submit your Application, you acknowledge having read and reviewed all Rules and Regulations, which set forth the terms and conditions applicable to vendors at event sponsored by the Warren Easton Alumni Association and Friends. The Vendor Agreement and Rules and Regulations shall automatically become a binding legal agreement between you and the Warren Easton Alumni Association.
Please remember no illegal weapons, edibles, CBD products or illegal substances are allowed.
You will receive a confirmation email after registration and rental space payment is received. This email will confirm your use of an assigned space during the term. We design the floorplan a few days prior to the event based on the particular mix of merchants booked. We will do our best to accommodate any special requests, but do not guarantee a particular type of space or location. YOUR RESERVATION IS NOT COMPLETED UNTIL WE RECEIVE YOUR PAYMENT.
The W.E. Alumni Association and Friends does not guarantee sales. We provide the space, brand promotion, a network of like-minded vendors, and a unique selling experience. The outcome of your specific sales experience is beyond our control. We do believe events such as these are an amazing way to receive real time feedback about your brand, network with like-minded entrepreneurs and make some sales. We cannot offer a refund if you do not sell anything. (We've never had a vendor not sell anything!)
